Meeting Room 365 uses flat, transparent pricing — no feature tiers, no SSO upsell, and no requirement to sit through a sales demo before you can sign up or see what the product does.

Room displays and Meeting Room TV

Pricing is per room, not per screen.

Multiple tablets on the same room — for example screens at two entrances to one conference room — no extra charge. You pay for the room once.

Tablet + Meeting Room TV in one room — two separate displays in Admin, each with its own display key. Both are licensed per room. A common setup is $9 + $9 per month (display outside the door + join experience on the in-room TV).

Status boards and other display types follow the same general licensing model as room displays when they consume a display licence — confirm specifics with support if you are mixing product types on one deployment.

Visitor management

A location is usually a sign-in tablet at a site. Multiple kiosks at the same lobby typically share one location licence.

Billing directly through Meeting Room 365 is the standard path. Some app-store purchase options exist for certain deployments; direct subscription is usually the better value — contact support if you are comparing options.

What is included

Everything at one price. There are no paid add-ons for capabilities like:

  • Microsoft or Google SSO for admin, Visitors, and native app sign-in — included, not an enterprise tier (see Identity and access below)
  • Instant reserve, extend, end early, room finder, force check-in
  • Themes, branding, custom CSS (with support for advanced tweaks)
  • Visitor invites, badges, wallet passes (on the visitor product)

If you need custom configuration support is available — that is not a separate product SKU.

Identity and access

When you evaluate room-display software inside Microsoft 365 or Google Workspace, authentication is usually the first security review. Meeting Room 365 is built to extend the identity you already operate — not add another vendor login to the password manager.

Trials and when billing starts

  • Trials start at 30 days and are routinely extended if you need more time — ask support
  • Unlimited testing is normal while you evaluate; you are not pressured to license tablets that are still in a lab
  • Meeting Room 365 measures per-tablet uptime to understand whether a device is in active evaluation or in production
  • A common pattern: run displays 24/7 for about a month while testing without a licence, then license when the rollout is real
  • Billing is for successful IT projects — when displays are actually deployed and in use, not for every experiment on a bench

How we sell (and do not sell)

Meeting Room 365 is built for teams who want to try the product, not sit in a funnel:

  • No sales demos required — sign up, connect a calendar, put a tablet on the wall
  • Demos are built into the products (including demo modes where applicable)
  • No features locked behind a phone call
  • No annual calls trying to upsell you
  • No outbound spam — we do not crawl the internet to cold-pitch prospects
  • Videos and the guide on the website replace mandatory product-demo meetings

Paying your invoice

Stripe (default)

Most customers subscribe through Stripe in the admin portal. Invoices are in USD.

International and alternative payment — pay.meetingroom365.com

For bank transfer, check, or paying in local currency, use pay.meetingroom365.com:

  1. Enter your invoice amount in US dollars from your quote or invoice
  2. The page shows equivalent amounts using current FX rates in supported currencies
  3. Follow the Wise transfer instructions for your currency — include your invoice number

Supported via Wise on the payment page (as of the live site): Euro (SEPA), UK pounds, Australian dollars, New Zealand dollars, Polish złoty, Hungarian forint, Singapore dollars, and US dollars. Contact support for Canadian dollars, Czech koruna, Romanian leu, Turkish lira, and other arrangements.

Meeting Room 365 uses a Wise Business account to facilitate international payments — one place for bank transfer instructions whether you are in Europe, APAC, or elsewhere.

Grandfathered pricing

Customers stay on the price they signed up at. If your organization has a legacy rate from an older billing channel, that rate can typically move to Stripe without losing grandfathered discounts — contact support to migrate.

Do I pay per tablet or per room?
Per room for meeting room displays and Meeting Room TV. Multiple entrance tablets for one room are included. Visitor kiosks are per location.

Is SSO extra?
No. Microsoft and Google SSO for admin access is part of the product, not an upsell.

When should I buy licences?
