Themes and Customization for Room Displays

Brand your room displays — logos, backgrounds, colors, SDK themes, legacy layouts, custom CSS, and localization.

Themes and Customization for Room Displays

Meeting Room 365 includes branding and layout customization at no extra charge. Most changes apply instantly from the admin portal; some (like display scale) require a tablet restart.

Configure appearance under the Style tab and Description tab when editing a display at admin.meetingroom365.com.

Theme generations

Meeting Room 365 offers three theme generations. Pick one per display in the Theme Editor.

Generation Status Summary
v2 Theme Default legacy Basic themes, broad CSS customization, best compatibility with older devices
v3 Theme Recommended Simpler setup, timeline/time-grid/calendar views, collapsible upcoming meetings
SDK Theme Preview Modern designer-built themes with per-theme options (Signal, Cumulus, Meridian, Reykjavik, Magnolia, Atrium)

The Theme Editor includes a live preview iframe. SDK themes are labeled as a preview release in the admin portal — options may expand over time.

To replace the entire UI with your own hosted app (not just pick a preset theme), use a Custom display and the Custom displays & SDK guide.

SDK themes

Six SDK themes are available when SDK Theme is selected:

Theme Notable options
Signal Accent (lime, cyan, amber, magenta, mint, violet); density (minimal, full)
Cumulus Accent (cumulus, sage, iris, dark); density (minimal, regular, informative); subtitle; hide "I'm" prefix
Meridian Accent (amber, cobalt, sunset, terminal); density (compact, regular, comfy); room zone label; help text; hide schedule
Reykjavik Accent hue (0–360°); density (compact, spacious)
Magnolia Density (compact, regular, informative); amenities line
Atrium Timeline mode (rail, right strip, side pane, bottom, overlay); status-bound background; background image or video

Only Atrium supports a custom background image or video among SDK themes. Built-in animated background presets (sphere, aurora, earth orbit, and others) are available in the theme editor.

Legacy themes (v2 and v3)

v2 theme styles

Choose one layout when v2 Theme is active:

  • Minimalist — latest v2 layout with common options
  • Split — simplified; does not show upcoming meetings
  • Status-bound — background color shifts with occupied/available state
  • Glass — glassmorphism styling
  • Default — full-featured classic v2
  • Existing — preserves your current custom CSS without overwriting

v2 supports the richest custom CSS workflow.

v3 theme options

When v3 Theme is active, additional toggles include:

  • Show Timeline — schedule rail on the right
  • Enable Time Grid — time-grid view instead of timeline
  • Enable Calendar View — month calendar view
  • Show Status-bound Background — background syncs to room state
  • Show Status Bars — colored bars indicating availability

Custom CSS for v3 is stored separately from v2 (v3Styles vs classic styles in the admin editor).

Branding options

Available on the Style and Description tabs:

Option Description
Logo Upload or paste a logo URL; optional logo width
Background image JPEG or PNG; optional fullscreen cover mode
Animated background Video or HTML background URL
Room photo Photo shown on schedule-related views
Email logo Horizontal white logo for notification emails
Message banner Short text displayed atop the screen (Description tab)
Room metadata Name, location, description, capacity
Equipment icons Icon set describing room amenities (e.g. video, Wi‑Fi, TV)
Brand color Used on status-board-style elements where applicable

Custom CSS

The CSS & Custom Styles editor accepts overrides for v2 or v3 displays. Use browser developer tools against a preview display to test selectors, then paste CSS into the editor and save.

Marketing materials also reference custom scripts and modal windows for advanced integrations — contact support for embedded modal flows, custom CSS beyond the editor, or other theme tweaks. These are typically configured the same business day.

Localization

Displays ship with 16 languages out of the box. Configure under the Localization tab:

Setting Effect
Language preset English, Spanish, German, French, Dutch, Italian, Polish, Danish, Portuguese, Russian, Estonian, Arabic, Greek, Japanese, Korean, Traditional Chinese, Simplified Chinese, or Custom
Display locale code Overrides preset (e.g. en-US, ja-JP)
24-hour time format 24:00 vs 12-hour am/pm
International date format Day-before-month ordering
Asian date formatting Locale-specific date strings
Custom i18n JSON Edit individual UI strings; save to apply

Right-to-left languages are supported. Some translation presets were built for v2 first — you may need to add strings for newer v3 or SDK controls.

Display scale

Scale / Force Display Width (800–1280, default 1024) adjusts element sizing for different screen sizes. Changing scale requires restarting the tablet app.

Supported / not supported

Supported Not supported
v2, v3, and SDK theme generations Theme editor inside native kiosk app UI (configure via admin portal)

Logo, background, video, room photo, email logo
Message banner and equipment icons
MDM-provisioned displays still receive theme updates from the cloud

Best fit for

  • Brand-conscious enterprises that want lobby-grade visuals on every floor without a separate signage vendor
  • Global offices localizing date formats and UI copy for regional offices
  • Design-led workplaces piloting SDK themes (Signal, Atrium, Meridian) for a modern aesthetic
  • Legacy tablet fleets staying on v2 for maximum CSS control and older OS support

Frequently asked questions

Which theme works on old iPads?
iOS 15+ and Android 5.1+ are recommended for new deployments. Very old operating systems may run v2 display themes only — see Hardware and devices.

Do SDK themes cost extra?
No. Customization is included in the standard display subscription.

Can I copy styling to many displays?
Yes. Use Clone Display Properties, location groups, or mass-update tools in the admin portal to apply the same theme to a floor or building.
