Step One: Create Room Resource Mailboxes in Office 365

The first (and most complicated) step is to create your resource mailboxes in Office 365. Each meeting room in your space will need to be assigned a Resource Mailbox from the Office 365 Admin Portal.

This gives it a unique email address and calendar, which will accept and manage meeting invites on behalf of your room.

If you’ve been a part of an organization with Meeting Rooms integrated into Outlook and Office 365, you know how easy and convenient it is to manage and book conference rooms right from your Outlook or mobile calendar.

To do this, you can take advantage of a feature hidden-away in your Office 365 account called Resource Mailboxes.

Resource Mailboxes get their own email address @ your domain, and can be added to your Office 365 organization without any additional licenses (so, they’re free). They will appear as Meeting Rooms or Locations in Outlook, and contain some pre-configured logic to automate the process of accepting / declining reservations (on a first-come, first-served basis), to avoid double-booking.

Solution to a common Office 365 & Exchange Resource Mailbox Issue

In Office 365 & Microsoft Exchange, by default, your resource mailbox won’t show your Meeting Subject. Instead, it replaces this with your organizer’s name. This occurs for privacy reasons, but it’s only the default. Most organizations opt to see meeting subjects instead.

Consider the following:

A Resource mailbox is configured to AutoAccept in an Microsoft Exchange Server or Office 365 environment.
You send a meeting request to the Resource mailbox.
The meeting request is accepted automatically, and the meeting subject is displayed correctly in the organizer’s mailbox.

In this scenario, when you log on to the Resource mailbox, you see that the meeting subject is replaced with the organizer’s name.

Why is this happening?

This is default behavior for Exchange Web Services and Office 365. It occurs because two configuration parameters, AddOrganizerToSubject and DeleteSubject are set to $True.

The good news is, you don’t have to open PowerShell to update this setting. You can update it directly from the Meeting Room 365 admin portal.

You may be required to enable the following permission to run the Meeting Room 365 app in Kiosk mode on later Samsung devices running recent versions of Android.

Navigate to Apps. Navigate to Settings, and then tap Apps.
Navigate to Special access. Tap More options (the three vertical dots), and then tap Special access.
Tap Apps that can appear on top or Draw over other apps. Tap Appear on top, and then locate the app(s) that use an overlay. Tap the switch next to them to disable the overlay permission.

a. Configure a Resource Mailbox

The easiest way to configure a new Resource Mailbox for Exchange 2007–2016 is via Exchange Management Shell. Alternatively, Exchange Management Console (EMC) provides an interface for creating resource mailboxes.
