In this article, we'll cover the entire process for setting up Meeting Room displays for Office 365. The first portion of this guide occurs in the Office 365 Admin Portal. So, if you rely on another IT administrator to manage your Office 365 tenant, you'll want to include that person for step 1.

Step One: Create Room Resource Mailboxes in Office 365

The first (and most complicated) step is to create your resource mailboxes in Office 365. Each meeting room in your space will need to be assigned a Resource Mailbox from the Office 365 Admin Portal.

This gives it a unique email address and calendar, which will accept and manage meeting invites on behalf of your room.

If you’ve been a part of an organization with Meeting Rooms integrated into Outlook and Office 365, you know how easy and convenient it is to manage and book conference rooms right from your Outlook or mobile calendar.

To do this, you can take advantage of a feature hidden-away in your Office 365 account called Resource Mailboxes.

Resource Mailboxes get their own email address @ your domain, and can be added to your Office 365 organization without any additional licenses (so, they’re free). They will appear as Meeting Rooms or Locations in Outlook, and contain some pre-configured logic to automate the process of accepting / declining reservations (on a first-come, first-served basis), to avoid double-booking.

In this article, we'll cover the entire process for setting up Meeting Room displays for G Suite. The first half of this process occurs in the G Suite Admin Console. So, if you rely on another IT administrator to manage your G Suite tenant, you'll want to include that person for steps 1-3.

The first step is to create a G Suite service user, which can read your resource calendar data on behalf of Meeting Room 365 (i.e. calendars@yourdomain.com or mr365@yourdomain.com , etc.).

Step One: Create Room Resource Mailboxes in Exchange

a. Configure a Resource Mailbox

The easiest way to configure a new Resource Mailbox for Exchange 2007–2016 is via Exchange Management Shell. Alternatively, Exchange Management Console (EMC) provides an interface for creating resource mailboxes.

If you're on hosted exchange (Godaddy, Rackspace, etc.), steps may vary.

Customizing your Status Board Display

Right now, you can customize the logo, title, and brand color (which all appear at the top of the display).

Additionally, you can choose between a light and dark theme (for the meeting room spaces themselves), and customize the display with custom CSS and translation files (a bit like the meeting room displays).

We also have some options around sorting (either alphabetical or pushing available rooms to the top), and what happens when there are too many rooms to display at once (by default it scrolls through the rooms every few seconds).

Most of these options are available today in the admin portal, and can be configured using a GUI. However, during development, many of these features are implemented first via a URL change. So, I will document those here as well for early users:

Provision Tablets

First, you will need to setup your iPad to act as a meeting room display.

Setup display to Never Lock

| Our latest iOS app (1.0.23+) now manages this for you, and does not require you to change lock settings. You can skip this section if you have updated to the latest version of our app.

Navigate to Settings, and select Display & Brightness. Next, adjust the brightness to your desired level, and set “Auto-Lock” to “Never”. This will prevent the display from powering off when idle.

Optionally, you may want to lock orientation by swiping up from the bottom of the screen and enabling lock orientation.

Enable Guided Access Mode

Next, you’ll enable “Guided Access mode”. This locks down your tablet so it can be used as a Kiosk. From the settings menu, click General, and then Accessibility.

Next, scroll to the bottom, and click “Guided Access”.
